When should a company bring in outside CAPA remediation support?

When the same problem has recurred after a closed CAPA, when the backlog is growing faster than it closes, or when the people who would run the remediation are the same people who own the process being remediated.

The repeat finding is the clearest signal

A recurrence after a closed CAPA means the root cause analysis was wrong or the corrective action was never capable of preventing recurrence. Internally, that conclusion is difficult to reach about your own work — which is the practical argument for outside review.

Backlog is a capacity problem masquerading as a quality problem

  • Records closed on the due date with minimal analysis
  • Extensions granted routinely and without a documented rationale
  • Effectiveness checks scheduled far enough out that nobody performs them
  • Investigations assigned to whoever has time rather than relevant knowledge

What outside help should actually do

Not write your CAPAs. It should re-analyze a representative sample, show where the reasoning breaks, rebuild the procedure and the training around the corrected approach, and then hand the system back with the internal team able to run it.
